1. Scope and acceptance

This policy governs all orders placed with Vintage Wholesale Supply Ltd. By placing an order, the buyer confirms that they have reviewed, understood, and expressly accepted this policy prior to purchase. Placing an order constitutes acceptance of the goods as supplied, subject only to the claim and returns process outlined below.

2. Nature of goods and bale-by-bale grading

All items supplied are used, vintage, or second-hand garments and may show signs of prior use consistent with age, handling, storage, and previous ownership. These characteristics are inherent to vintage goods and do not, by themselves, constitute defects.

We provide a bale-by-bale grading breakdown showing the expected percentage allocation of grades within a bale. Example: 100 Branded T-Shirts (Grade A 80% / Grade B 20%). Where available, additional notes may be provided to help the buyer understand expected preparation work before resale.

Sizing and assortment: Unless a product listing explicitly states otherwise, bales are supplied as a mixed assortment and may contain mixed sizes, styles, eras, and fits. Size distribution is not guaranteed and is not grounds for a refund or return.

3. Grading tolerance (human assessment variance)

Because grading involves human assessment and vintage clothing varies widely, a tolerance is applied to percentage allocations. Unless otherwise stated on the product listing, the total grade allocation for a bale may vary by up to 10 percentage points from the stated breakdown due to unavoidable manual sorting variance. This tolerance applies across all grades and is considered commercially reasonable for bulk vintage goods.

Grade A standard: Grade A represents our highest resale-standard selection for used/vintage goods. Items are expected to be commercially saleable after routine care (for example washing/steaming). However, due to the pre-owned nature of goods and bulk sorting, minor issues and natural variation may occur within the stated grading tolerance.

Grade B within Grade A bales: Where a bale is listed with a Grade A allocation that includes a stated Grade B percentage (or falls within tolerance), this is not a defect. Grade B items may include older styles, vintage models, or stock with visible wear characteristics and remain commercially useful for many resale markets.

Items falling within the stated grade characteristics and within this tolerance do not qualify as faults for the purposes of refunds or returns.

4. Inspection window (14 days)

All orders should be inspected in full as soon as reasonably possible after delivery.

Any issue must be reported within 14 calendar days of the delivery date, calculated from the courier’s confirmed delivery timestamp. This includes (without limitation): missing items, quantity discrepancies, or items materially outside the stated grade allocation (beyond the tolerance).

Claims submitted after this period are considered out of time for the purposes of this policy-based claims process and will not be reviewed under this process.

5. Washing, handling, and what is not a fault

Items are supplied unwashed and untreated. Residual marks, odours, dust, storage creases, and compression from transit are normal characteristics of vintage wholesale goods and are not faults.

Grading and claim assessment is based on the condition of items as supplied (pre-wash). Returned items must be in the same condition as supplied (unwashed and unaltered) unless we agree otherwise in writing.

Refunds will not be issued for subjective dissatisfaction, resale performance, market demand, style preference, sizing distribution, odour, wash outcomes, or characteristics inherent to vintage goods.

6. How to make a claim (evidence required)

All claims must include verifiable evidence sufficient to allow independent assessment. Required evidence:

  • Order number
  • Clear written description of the issue
  • Quantity affected
  • Clear, unedited photographs showing the items in question and the issue being raised

For missing items or quantity disputes, we may request additional evidence such as photographs of packaging, labels, and the contents as opened.

7. When refunds/returns are considered

Refunds or returns may be considered only if all of the following conditions are met:

  • The issue is materially outside the stated grade allocation and exceeds the 10 percentage point tolerance
  • The claim is submitted within 14 calendar days of delivery
  • Sufficient evidence is provided
  • Written return authorisation is issued by Vintage Wholesale Supply Ltd

Failure to meet any condition renders the claim invalid.

8. Return authorisation requirement

All returns require prior written authorisation. Returns sent without authorisation may be refused, returned to the sender, or not processed. Approval to return does not guarantee a refund. Inspection outcome on receipt is final.

9. Return shipping, risk and inspection

Return shipping costs are the buyer's responsibility. Original outbound shipping charges are non-refundable. Returns are shipped at the buyer's risk. Vintage Wholesale Supply Ltd is not responsible for loss, delay, or damage in transit. Use a tracked service and retain proof of postage.

On receipt, authorised returns are inspected. If returned items do not match the approved claim, are incomplete, or are received washed/altered, the refund may be denied and goods may be returned at the buyer's expense.

In rare cases where a confirmed fault or fulfilment error by us is established, we may agree (in writing) to reimburse reasonable return shipping costs.

10. Return address and labelling

All authorised returns must be sent to:

Mandatory identification:

  • Outer shipping label must clearly show: buyer name, original Order ID, and contact email (support@vintagewholesalesupply.com).
  • Inside the parcel, include a label with: Customer Name, Order ID, Email Address, and Reason for Return.
  • Returns received without clear identification may be delayed, rejected, or returned unprocessed.

11. Refund method and timing

Refund scope Refunds apply only to affected items, not the full order.
Non-refundable costs Original outbound shipping, duties, taxes, and return shipping are non-refundable.
Refund method Refunds are issued to the original payment method only.
Processing time Approved refunds are processed within 14 business days of approval (bank processing times may add additional time).

12. Cancellations

Cancellation requests are considered only if received before a shipping label is generated or dispatch preparation has commenced. Once fulfilment begins, cancellation is not possible.

Wholesale orders are final. No cooling-off period, right of withdrawal, or change-of-mind cancellation applies once an order is placed, to the fullest extent permitted by law.

13. Chargebacks and disputes

Unjustified chargebacks, payment disputes raised without first following this policy, or abuse of the claims process may result in account suspension, refusal of future service, and recovery of associated costs.

14. Non-excludable statutory rights

This policy is intended to operate alongside applicable UK law. Nothing in this policy is intended to exclude or limit statutory rights that cannot lawfully be excluded.
